Theater Job Descriptions
Welcome to our theatre production! This is EPCP’s largest fundraiser and an outstanding experience for all involved. The tradition began in 1957 with folk singers and dancing and has evolved into an elaborate performance. We have beautiful sets and costumes, talented actors, a shadow puppet performance, concessions, raffle baskets and games in the courtyard. The appearance has changed, but the basic purpose remains: to provide the community with affordable live family entertainment and expose the community to our early childhood education program.
Through dedication and hard work in the following jobs, we are able to make our production possible. Think about your interests, talents and what you’d like to experience when selecting your job preference. There are many “behind the scenes” jobs, so don’t worry about being an actor…
Job Descriptions
Producer (1):
Coordinate and supervise theatre responsibilities. This includes leading a play selection meeting, assigning theatre duties, making theatre presentations at parent meetings, serve as the theatre liaison to the church, monitor leads progress to ensure all tasks are completed, and resolve conflicts. Publicity (1 Lead)
Promote the fundraiser to the community through TV, papers, and our website. Contact local TV and radio stations for publicity and public service announcements and possible interviews. Write and prepare news releases and articles, along with photographs, to submit to local newspapers and newsletters. Work with TICKET and FLYER leads to ensure coordinated citywide coverage of our production. On both days be available for interviews and make sure at least one performance is video taped. Flyer (1 Lead, 2 Crew Members)
Lead is responsible for the design and distribution of promotional flyers and the program. Lead works with the PRODUCER and PUBLICITY lead for design, proof reading and the sizes needed for the flyers and programs. You will plan flyer distribution to the community. Provide flyers for helpers and membership to deliver to local schools, stores, etc. Post lists of places to distribute, if necessary. Deliver programs to performances for USHERS to distribute. Work with TICKET and RAFFLE leads for donation of copy costs and for a list of all contributors to acknowledge in the program. Pre-performance job
Tickets (1 Lead 1 Representative)
The lead is responsible for overseeing ticket production, distribution, and money collection. This includes typesetting the tickets and soliciting a printer (with FLYERS) to donate its service; distributing tickets and keeping in touch with ticket outlet stores; reporting progress to the TREASURER and the general membership at meetings; collecting and selling tickets on the play days, and working with the TREASURER to ensure proper handling of money and record keeping. Post in-house donations list for top EPCP ticket sellers. Pre-performance and play day job for the lead.
The TICKET REPRESENTATIVES are responsible for distributing tickets to the membership, encouraging sales, being available before and after school to exchange tickets, and keeping track of tickets and money. Help with ticket sales on play days. Pre-performance job and alternating play day for representatives.
Play Director (1):
Work with PRODUCER, SET AND STAGE lead, MUSIC lead, COSTUME lead, and the M.C. to determine play needs. Copy and distribute script to ACTORS. Set up and run rehearsals (remember rooms need to reserved with the church secretary). Direct the play and make creative decisions. Pre-performance and play day job
Actors (7-9)
Attend al rehearsals and play days. Learn lines; cooperate with PUBLICITY, COSTUMES crew and most importantly, the DIRECTOR. Pre-performance and play day job
Master of Ceremonies (1):
You will welcome the audience to the performances, review the rules of behavior, conduct a sing-along and then introduce the shows. Work with the DIRECTOR to create a script that will provide continuity between performances. Be upbeat, in costume, and smile! Work with the USHERS to entertain and draw audience into shadow puppet performance and the play. Locate stamps and fresh inkpads for the actors. Pre-performance and play day job
Ushers (4-6):
Work with the M.C. and DIRECTOR to coordinate any audience participation activities during shows. Set up audience area, floor tape, chairs and black plastic on windows before dress rehearsal and play days. Pass out programs. Circulate among audience to keep children within marked areas. Participate in sing-a-long and applause! Have fun, smile and maybe even wear a costume! Serve as a floater if help is needed in other areas on play days. Play day job
Puppet Theatre Director (1):
Direct production and make creative decisions. Work with PRODUCER, DIRECTOR and SET AND STAGE leads to determine puppet theatre needs. Request help of SET AND STAGE CREW to repair or build any puppet stage needs. Write, copy and distribute script to PUPPETEERS, hold puppeteer-training classes, set up and run rehearsals. Puppeteers (5-7):
Work with PUPPET DIRECTOR to modify scripts for show. Find or design and construct puppets with leads direction. Attend all rehearsals and both play days. Pre-performance and play day job
Sets, Stage and Props (1 Lead, 4-8 Crew Members):
The lead works with the PLAY and PUPPET DIRECTORS to develop and coordinate the overall set, stage and prop needs and assigns duties. Communicates any needs to the RAFFLE/DONATIONS lead. The lead participates with the SETS AND STAGE CREW to design and assemble easy-to-store props, paint backdrops, etc. Attend all dry run, dress rehearsals, and performances. Responsibilities include putting up sets, assisting in set changes, and taking down and storing re-useable sets after the last performance. Pre-performance and play day job, with the possibility of moving to another play day location depending on need.
Costumes and Make-up (1 Lead, 2-5 Crew Members):
The lead works closely with the DIRECTOR to determine and coordinate all costume and make-up needs; checks costume and make-up inventory to determine what can be reused and what new items are needed; and works with RAFFLE/DONATIONS for needed materials. The lead and crew work with the ACTORS to design and provide costumes and make-up in time for press-release photos in January, dress rehearsals and both play days. Attend all dry run, dress rehearsals, and performances to assist ACTORS. Some sewing experience needed for these jobs. Pre-performance and play day job
Music and Sound (1 Lead, 1-2 Crew Members):
You will work with the DIRECTORS and the M.C. to determine all music needs of the production. Attend all rehearsals and play days once the music is added. Perform or provide music for intermission if needed. Pre-performance and play day job
Raffle/Donations (1 Lead, 2-3 Crew Members):
Procure donations for the Raffle, and track donations provided to the other areas to provide to the treasurer. It is important to keep careful track of donors for recognition in the program and writing thank you notes. Set up and run the Raffle on both play days. Choose raffle winners and make sure prizes are awarded. Generate a letter to past EPCP members for alumni contributions. Work with PUBLICITY to post baskets on website and generate flyers for pre-play raffle ticket sales. Have raffle tickets available to membership for pre-sell. Pre-performance and play day job
Concessions (1 Lead, 2 –3 Crew Members):
Lead is responsible for procuring beverage and snack donations for lobby and courtyard refreshments. Track all donations and report to RAFFLE/DONATIONS lead. Crewmembers work at the concessions table in the lobby and courtyard. Pre-performance and play day job for the lead, play day job for crew
Games (1 Lead, 3-4 Crew Members):
Lead is responsible for providing prizes and setting-up for courtyard games and events such as selling balloons, balloon animals, face painting, fishing game, bean bag toss. Create back up plan if the weather is poor. Pre-performance and play day job for the lead, play day job for crew
Money Manger (1 Lead):
This person is usually the school treasurer or is certified by the school to handle money in much the same way as the treasurer. The job includes collecting money throughout the lay days and staying after to the final tallies. Play day job
Potluck (1 Lead):
Organize food potluck for breaks and lunch between performances. Post sign-up sheets in advance. Set up tables in designated room and set out cups napkins, plates and utensils. Supervise, clean-up and return room to original condition. Pre-performance and play day job
Babysitting (1 Lead, 4 Crew Members):
Lead will make arrangements for performance day childcare and possibly rehearsal child care needs. Coordinate use of rooms with teachers. Provide name labels for children, sign-in sheets and keep track of children participating in plays at all times. Pre-performance and play day job for the lead, play day job for crew
